Annual General Meeting

Hello Track 3 Community,
I hope everyone enjoyed the 2016/2017 Track 3 season and now that we are near the beginning of fall,
winter enjoyment is around the corner.
We will be having our Annual General Meeting (AGM) on Wednesday October 11 at 7:00 pm in the Track
3 building.
We need to replenish some positions in our volunteer base for the up coming season to ensure we
continue delivering the great program that so many enjoy. For the 2017/2018 season, the following
positions need to be filled.
Please consider nominating yourself, or someone you feel would be a great addition to our program,
and please let us know by October 4th by replying to this email.
The following positions are available for your consideration (A short list of duties is provided for your
reference);
Communications Lead
-Attend monthly board meetings and report on Communication committee business
-Maintain and build our Facebook following through our Facebook page and update with current
information
-Assist with instructor recruitment
-Update our web page with current information and communications to our Track 3 community
Fundraising Committee
-Assist with current initiatives
-Develop new initiatives to meet fundraising objectives
-Coordinate with communications team to deliver messages
Book Keeper
-Assist Treasurer
-General book keeping
-Assist with monthly financial reports for board meetings
-Assist with annual income/expenses summary
-Assist with coordination of annual tax return with the accountant
-Coordinate the registration process for our students each October through December
-Monitor payments and follow-up on open issues
-Issue registration fee receipts
Events Coordinator
-Organize and lead our special events (Chicopee Day, Instructor Appreciation, Boler Blitz, Etc.)
-Coordinate with special events volunteers
-Liaise with communications team
Facilities Manager
-Maintain building activity calendar
-Update board on maintenance schedule

Program Coordinators and Assistants
-Coordinate the delivery of a program night session:
-Pair students with instructors at season start
-Work with Equipment Coordinator to ensure student equipment is assigned
Communications Committee Members
-Maintain and build our social media following through our social media pages and update with current
information
-Assist with instructor recruitment
-Assist with fundraising initiatives
-Update our web page with current information and communications to our Track 3 community
